Terms of Service
CampOffice, a service of FlexVivid. Last updated October 20, 2026.
These terms are the agreement between your camp and FlexVivid ("we", "us") for using CampOffice. The person who creates the account agrees to them for the camp, and confirms they are allowed to.
1. What CampOffice is
CampOffice is online software for running a camp office: applications and registration, families and campers, bunks, billing, forms, messages to families, phone lines, buses, the infirmary log, staff hiring and the camp's website. Some parts are off until your camp turns them on, or until we turn them on after talking with you.
2. The free trial and paying
- A new camp gets a free trial. No card is needed for it and nothing is charged during it.
- To keep using CampOffice after the trial, your camp chooses a plan. Prices are on our pricing page. Texts, phone calls and similar usage are charged at the rates shown there.
- Plan fees are paid ahead for the period they cover. Fees are not refunded unless we agree to it in writing or the law requires it.
- If a bill goes unpaid, we may hold messages and phone lines, and later the account, after telling you.
3. Your camp's information
- The information your camp puts in CampOffice (families, campers, staff, payments, forms) belongs to your camp. We use it only to run CampOffice for your camp, to support you, and as our Privacy Policy says.
- You confirm your camp is allowed to put that information in CampOffice, including information about children, and that parents have been told how the camp uses it.
- You can ask us for a copy of your camp's information, or to delete it, at any time.
4. Messages and phone calls
- Your camp is the sender of the emails, texts and calls it sends through CampOffice, and is responsible for them.
- Texts and calls only go to people who agreed to get them, and never during quiet hours. Your camp must record that agreement truthfully and stop when someone asks to stop. You must follow the laws on texts, calls and email, including the TCPA and CAN-SPAM.
- A staff member's voice may only be copied with that person's own recorded agreement.
- Messages and calls go through phone carriers and email providers we don't control. They can be late or not arrive.
5. Payments from families and your books
- Card and bank payments are handled by a payment processor under its own terms. Card numbers are entered with the processor, not stored by CampOffice.
- Your camp sets its own prices and is responsible for its refunds, payment plans and disputes with families.
- Sending to QuickBooks or Xero is off until your camp turns it on. Your camp should check what is sent to its books.
6. Using CampOffice properly
Keep your passwords private and give each staff member their own sign-in. Don't use CampOffice to send spam, to break the law, to get into another camp's information, or to interfere with the service. We may suspend an account that does.
7. Other companies' services
CampOffice uses other companies to work, such as hosting, phone and text carriers, email delivery, payment processors, accounting software and AI providers. Their own terms apply to their part, and we are not responsible for their outages or mistakes.
8. The AI helper
CampOffice's helper can be wrong. Anything it would send, change or charge waits for a person at your camp to approve it. Check its work before you rely on it.
9. No guarantee
We work to keep CampOffice running and correct, but it is provided "as is" and "as available". To the fullest extent the law allows, we make no promises beyond these terms, including that it will always be available, free of mistakes, or fit for a particular purpose.
10. Limit on what we owe
To the fullest extent the law allows, FlexVivid is not responsible for indirect, special or follow-on losses, such as lost income, lost data or lost registrations. Our total responsibility for any claim about CampOffice is limited to what your camp paid us in the 12 months before the claim.
11. Claims from others
Your camp will cover FlexVivid against claims, costs and fines brought by others (for example a family, staff member, carrier or government) that come from your camp's information, messages, calls, payments or use of CampOffice against these terms or the law.
12. The Liability Waiver
Our Liability Waiver is part of these terms.
13. Ending the account
Your camp can stop using CampOffice at any time by telling us. We can end an account by telling you 30 days ahead, or right away if these terms are broken or the bill goes unpaid. Before an account closes you can ask for a copy of your camp's information.
14. Changes
We may change these terms. If a change matters, we'll tell the camp's owner by email before it applies. Using CampOffice after that means your camp accepts the change.
15. Law
These terms are governed by the laws of the State of New Jersey. If a part of them can't be enforced, the rest still applies.
