FlexVivid runs CampOffice, software that camps use to run their office. This policy explains what information we handle and what we do with it.
Information we collect
From camps and their staff. When a camp signs up or uses CampOffice, we collect contact and account information such as the camp's name, the director's and staff members' names, email addresses and phone numbers, billing information, and messages they send us.
For camps, about families, campers and staff. Camps put in information about the families, campers and staff they work with, such as names, addresses, phone numbers, grades, bunks, medical and allergy notes, forms, payments and messages. Families may also enter it on their camp's pages. We handle this information for the camp, and the camp decides how it is used.
From visitors to our website. Information you send us on a form, and basic technical information such as your IP address and browser.
How we use information
We use information to provide CampOffice, set up and look after accounts, process orders and invoices, send messages the camp asks us to send, answer questions, keep the service secure, and send service-related notifications. We use families' and campers' information only to run CampOffice for their camp. We never send marketing to a camp's families.
Text messaging
CampOffice collects phone numbers from camp staff, with their consent on our sign-up form at https://campoffice.app/start, in order to send account notifications by text message. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the text message services. You may opt out at any time by replying STOP. Texts a camp sends to its own families through CampOffice go only to people who agreed to get texts from that camp, and the same rules apply to their numbers.
Information sharing
FlexVivid does not sell personal information. We may share information only as needed to provide CampOffice, process payments, send messages and calls, comply with legal requirements, or work with service providers who support the service, such as hosting, phone and text carriers, email delivery, payment processors, the accounting software a camp connects, and AI providers when a camp uses the helper.
Children's information
We do not collect information directly from children. Campers' information is put in by their camp or their parents, and is used only to run CampOffice for that camp.
Cookies
We use cookies to keep you signed in, to remember your choices, and to remember which website sent you to us. We do not use advertising cookies.
Keeping and deleting information
We keep a camp's information while its account is open. A camp can ask us for a copy of its information or to delete it. Families can ask their camp, or us, to see or correct their information.
Data security
We take reasonable steps to protect information from unauthorized access, misuse, loss, or disclosure. Card numbers are entered with the payment processor and are not stored by CampOffice.
